    Appointments

    Every booking somebody made with you, and everything you can do about it.

    Overview

    Appointments is the host side of your booking pages. Where a booking page is what somebody outside sees, this is where the bookings they made arrive and are managed. Three views cover the whole life of a booking: what is coming up, what has already happened, and the same set laid out on a month or week grid. Selecting one opens a drawer holding every action a host actually needs, so rescheduling, cancelling, sending a reminder or writing a private note never means leaving the list and finding the booking again.

    • A no-show marker on past bookings, so the record of who turned up is kept rather than remembered
    • Private notes on a booking, visible to you and never to the person who booked

    Important to know

    Limits, permissions, and sharp edges to keep in mind.

    • Private notes are private to the host. The attendee never sees them, on the booking page or in any email.
    • Cancelling and rescheduling notify the attendee. Both are visible actions, not silent edits to your own copy.
    • A no-show is a record you keep after the fact and does not notify anybody.
    • The list reflects the new state as soon as an action completes, so what you see after acting is what actually happened rather than an optimistic guess.
    • Bookings arrive from your booking pages. To change what can be booked, change the booking page rather than the appointment.

    How to use it

    The primary workflow, start to finish.

    1. 1Open Appointments. Upcoming is the default, showing confirmed bookings from now onward.
    2. 2Narrow the list with the filters above it: a specific booking page, an attendee name, or a date range.
    3. 3Select a booking to open its drawer.
    4. 4Act from the drawer: reschedule or cancel it, send the attendee a reminder, copy the link, or write a private note.
    5. 5After a meeting, use Past to mark a no-show if somebody did not turn up.

    FAQ

    Does the attendee know when I cancel or reschedule?
    Yes. Both notify them, because both change an arrangement they are part of. Marking a no-show does not, because it is a record you keep afterwards.
    Can the attendee see my private note?
    No. Private notes are visible to the host only, and appear nowhere on the booking page or in any message the attendee receives.
    How do I change what people can book?
    On the booking page, not here. Appointments manages the bookings that were made; the booking page decides what can be made.
    Why can I not find a booking?
    Check which view you are on. A booking that has finished or been cancelled moves to Past, and the filters above the list may also be narrowing it.
